1.1 Quality Commitment
Fire Protection BIM is committed to delivering high-quality fire protection designs that meet all applicable UK standards and regulations. All designs are reviewed by experienced engineers to ensure accuracy, completeness, and compliance before delivery to Clients.
1.2 Design Standards
• All designs comply with BS 9251:2021 (Sprinkler Systems for Fire Protection)
• All designs comply with BS EN 12845:2015 (Fire Sprinkler Systems)
• All designs comply with Building Regulations 2016 Part B (Fire Safety)
• All designs comply with relevant Authority Having Jurisdiction (AHJ) requirements
• All designs comply with current industry best practices for fire protection engineering
1.3 Quality Assurance
All deliverables are subject to an internal quality review process before submission to the Client. This includes verification of compliance with standards, accuracy of calculations, consistency of drawings, and professional presentation.
Clients are encouraged to report any quality concerns within 14 days of delivery, and the Company will address legitimate concerns promptly.
2. Revision and Correction Policy
2.1 Included Revisions
The number of revision rounds included in the project fee is specified in the quotation. Typically, two rounds of revisions for design changes are included.
2.2 Additional Revisions
Revisions beyond the agreed number are charged at £75-£150 per hour (depending on complexity), or at a fixed cost agreed in writing before the revision work commences.
2.3 Design Corrections
If errors or omissions in the design are identified by the Client within 14 days of delivery, and these errors are the responsibility of the Company, corrections will be provided at no additional cost.
2.4 Client-Requested Changes
Changes requested by the Client (including changes to building specifications, layouts, requirements, or scope) are not corrections and will be charged as additional work.
3. Communication and Responsiveness
3.1 Response Times

3.3 Business Hours: We operate Monday-Friday, 09:00-17:30 GMT. Emails received outside business hours will be responded to the next business day.
4. Data Protection and Confidentiality Policy
Fire Protection BIM complies with the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018. We handle Client data securely and only use it for purposes related to the Project.
4.2 Information We Collect
• Contact information (name, email, phone, company)
• Project specifications and requirements
• Building information and site details
• Payment and billing information
4.3 Use of Information
We use information provided solely for delivering the contracted Services, communicating with Clients, billing, and improving our services. We do not sell, share, or disclose Client information to third parties without consent, except where legally required.
4.4 Data Retention
Project data and documentation are retained for at least 6 years following project completion for record-keeping and regulatory compliance purposes. Clients can request data deletion after project conclusion, subject to legal obligations.
4.5 Confidential Projects
If a project requires heightened confidentiality, the Client must specify this in writing. A Non-Disclosure Agreement (NDA) may be required. All team members sign confidentiality agreements protecting Client information.
5. Dispute Resolution Policy
If a dispute or concern arises, the Client should contact the Company in writing with details. We will engage in good faith discussion to resolve issues within 10 business days.
5.2 Escalation
If informal resolution is unsuccessful, either party may escalate the matter in writing to management. We will attempt mediation before pursuing legal remedies.
5.3 Governing Law
All disputes are governed by the laws of England and Wales. Both parties agree to submit to the exclusive jurisdiction of the English courts.
5.4 Time Limit for Claims: Claims must be raised within 12 months of project completion, or they will be considered time-barred unless agreed otherwise in writing.
6. Professional Conduct and Compliance
6.1 Professional Standards
Fire Protection BIM’s team operates under professional engineering standards and ethics guidelines. We maintain competency through continued professional development and industry involvement.
6.2 Professional Indemnity Insurance
The Company maintains professional indemnity insurance covering professional negligence and errors in design. Insurance details are available upon request.
6.3 Conflicts of Interest
We declare any potential conflicts of interest to Clients at the outset of projects. Where conflicts exist, we manage them transparently or decline the engagement.
6.4 Compliance: We comply with all applicable UK laws, regulations, and building standards in delivering our Services.
7. Client Responsibilities
7.1 Accurate Information
Clients are responsible for providing accurate and complete information regarding the building, requirements, site conditions, and specifications. Inaccurate information may result in design errors and additional costs.
7.2 Timely Provision of Information
Clients must provide all required information promptly to avoid project delays. Information delays may affect project timeline and cost.
7.3 Proper Use of Deliverables
Clients are responsible for ensuring that Deliverables are used only for the specified Project and only by qualified professionals. Misuse may void warranties.
7.4 Installation Oversight
Clients (or their contractors) are responsible for ensuring installation strictly adheres to design specifications and applicable regulations. The Company is not responsible for installation errors.
8. Insurance and Liability
8.1 Professional Indemnity Insurance
Fire Protection BIM holds professional indemnity insurance. Details and certificate copies are available upon request.
8.2 Insurance Limitations
Insurance does not cover claims arising from Client-requested deviations from standards, use of Deliverables outside the specified Project, or third-party errors in installation.
8.3 Client Insurance
Clients should maintain appropriate insurance coverage for their building and operations. Design services are not a substitute for the Client’s own risk management.
9. Future Changes to Policies
9.1 Policy Updates
Fire Protection BIM may update these Policies periodically. Changes are effective 30 days after posting on the website unless a Client objects in writing.
9.2 Current Agreement
Ongoing projects are governed by the Policies in effect at the time the project quotation was issued, unless both parties agree to updated terms.
